The Interactive Process

When an employee requests a workplace accommodation for a disability, the EARC works together with the employee and their supervisor/manager to explore ways to help the employee do their job effectively. This discussion is called the interactive process — a collaborative, ongoing conversation to identify and implement reasonable accommodations. The process may continue over time if the employee’s condition or job responsibilities change.

What Happens During the Interactive Process:

  1. Review the Documentation
    We review the EARC Verification Form or other medical documentation from the employee’s healthcare provider to confirm eligibility under applicable disability laws (California Fair Employment and Housing Act (FEHA) and the Americans with Disabilities Act (ADA).
  2. Talk with the Employee
    We meet with the employee to better understand how their condition and limitations affect their work, identify barriers, and explore what types of accommodations may help.
  3. Consult with the Supervisor or Manager
    We collaborate with the supervisor or manager to evaluate possible accommodations, consider operational needs, and ensure the accommodation supports both the employee’s success and operational needs.
  4. Determine and Implementation
    If appropriate, the EARC recommends reasonable accommodations and coordinates with both the employee and manager to implement them.

Note: Supervisors/managers are expected to keep any information shared during the interactive process confidential. The EARC does not share medical diagnosis or records.
