University Marketing and Communications (UMC) provides templated email campaigns aligned with SJSU Brand Standards for Emma for use by all campus communicators. The Emma platform features intuitive editing tools, audience building and more to provide you seamless customizability as you craft your college, division or department's email campaigns.

All users of Emma at SJSU must review and comply with all brand and content standards established by UMC and IT for all emails built in and sent through Emma. All emails are subject to review by UMC for compliance with accessibility and design standards.

Audience Segments
SJSU IT will automate the import of faculty, staff, and current student data into Emma from PeopleSoft on a daily basis. If you have current lists for custom audiences outside of these groups, we ask that you please download that data from Marketo to archive it and then you will need to re-upload that audience to Emma.
SJSU's Emma account has a limit of how many contacts our instance can support. Examples of custom lists outside of the automated import that can be uploaded include: foundation or board members, community partners, local or community government officials, etc. We ask that you do not upload excessively large lists, or list of prospective students, alumni or donors. If you have questions about a list import, please check with UMC or IT before uploading.
As a reminder, Emma is meant to send emails to current students, faculty and staff at San José State University.
Sending an Email Campaign
- Pre-send checklist and testing
- Preview the campaign and make sure that it looks the way that you intended.
- Make sure that all of the images in the campaign have alt text. This improves the experience for contacts who use screen readers and those whose email clients block images.
- If sending a legacy* campaign, check the plaintext version of the campaign for errors.
- Check the content, spelling and grammar, and inclusion of the:
- Correct header
- Subject line
- Preheader text (optional: can be standardized or updated for each email campaign)
- Campaign body / content
- Our standard San José State University footer
- Send a test to confirm the following:
- All personalization is working correctly.
- All links behind text, images, and buttons work and lead to the correct destination.
- The campaign looks correct in different email clients.
- If you linked to a file from your document library, that you chose the correct file and it loads properly.
- Test the sender name and subject line and confirm that they are the best choice.
- Check the audience for the mailing and confirm that you've chosen the correct contacts, groups, segments, or subscriptions.
- Check the reply-to address and confirm that it's correct.
- Check the signup link in the footer of the campaign and make sure that it links to the correct form.
- Have another person check the campaign for errors.
